The objective is to help JIT Logistics analyze the root causes of delays, design better real-time tracking systems, and create improved communication processes between drivers, dispatch, and customers.
By the end of the project, students will deliver a delay-reduction framework that includes data analysis, new technology recommendations, and improved standard operating procedures (SOPs).
Tasks Students Will Complete
Delay Root Cause Analysis
- Review historical delivery data (on-time % vs late %).
- Interview staff/drivers to identify bottlenecks (traffic, unclear routing, slow communication, client readiness).
- Map out the “current state” of JIT’s delivery process.
Tracking & Notification System Research
- Evaluate affordable GPS/fleet tracking tools (e.g., Tookan, Routific, Onfleet).
- Research customer-facing solutions like SMS/WhatsApp notifications and real-time ETA updates.
- Compare pros/cons, costs, and scalability of 3–4 systems.
Communication Protocols
- Propose a streamlined driver-dispatch communication system (standardized check-ins, delay reporting).
- Develop SOPs for what happens when a delay occurs (customer notification scripts, escalation steps).
Process Improvement Recommendations
- Design new workflows for scheduling, handoffs, and proof-of-delivery.
- Recommend performance KPIs (on-time % targets, average delay time, customer satisfaction).
Pilot & Simulation
- Simulate the improved process using sample routes and mock customer interactions.
- Measure improvements in projected delivery times and communication clarity.
Expected Outcomes and Deliverables
- A root cause analysis report on delivery delays.
- A technology recommendation matrix comparing real-time tracking and notification tools.
- New SOPs for dispatch-driver-customer communication.
- A delay-reduction framework with step-by-step recommendations.
- Mockups of customer-facing notifications (SMS/email templates).
- A final Delivery Efficiency Playbook and 10–15 minute presentation to JIT Logistics leadership.
